About this role
The company imports products primarily from Asia and utilizes Shopify, ShipBob, and Settle to manage inventory and fulfillment operations. The goal of this role is to remove the day-to-day logistics and inventory management responsibilities from ownership while improving visibility, organization, and operational efficiency. This is not a customer service role. The company already has a dedicated customer service VA. This position is focused entirely on backend logistics, inventory management, shipment tracking, and operational coordination.
Responsibilities
- Monitor inventory levels across Shopify and ShipBob
- Track stock levels and identify products approaching reorder thresholds
- Assist with inventory forecasting and planning
- Maintain inventory records and reporting
- Support inventory reconciliation activities when needed
- Track inbound shipments from overseas suppliers
- Monitor Bills of Lading (BOLs), shipment status, and delivery timelines
- Coordinate with customs brokers, freight providers, and logistics partners
- Maintain visibility into incoming inventory and expected arrival dates
- Follow up on shipment delays, exceptions, or documentation issues
- Create and maintain purchase orders within Settle
- Update shipment records and inventory reports
- Assist with inbound shipment creation and receiving workflows
- Maintain organized documentation related to imports and logistics
- Create and maintain inventory tracking spreadsheets
- Generate inventory and logistics reports for ownership
- Help identify process improvements and operational efficiencies
- Work within Shopify, ShipBob, Settle, and related systems
Qualifications and requirements
- Experience in inventory management, logistics coordination, supply chain support, or e-commerce operations
- Familiarity with Shopify strongly preferred
- Experience with third-party logistics (3PL) providers such as ShipBob preferred
- Experience working with imports, freight forwarding, customs brokers, or international shipments preferred
- Strong Excel or Google Sheets skills
- Experience with inventory forecasting and purchase order management is a plus
- Strong written and verbal English communication skills
- Strong attention to detail
- Comfortable working with inventory and logistics data
- Highly organized and process-oriented
- Able to manage multiple shipments and inventory workflows simultaneously
- Strong analytical and problem-solving skills
- Comfortable working independently with minimal supervision
- Interested in improving and streamlining operational processes
